Customer Review: Working well after the patch

I'm updating this review. Since applying the update, the bugs seemed to have been worked out. I've been using PaperPort 12.1 for months now and it has proven to be quite stable, even when working with networked drives.

Now that it is working properly, here is why I like the program, and why I continue to use it after years of having a love/hate relationship with it:

First, I have yet to find another program in this price range that gives as much PDF editing power. PaperPort makes it easy to scan in paper and clean up the scan.

PDF Viewer Plus has become my default PDF viewer. It is much more slower to load than other PDF viewers I've used, but you can do a lot with the PDF once you have it open, including OCR on demand, which works very well and is very accurate. Converting large PDF files you receive to searchable PDFs on the fly is very useful to me as I'm often sent large scans where I want to find specific language or I want to copy sections out of a scan.

FormTyper has improved greatly in this version and I use it frequently. Usually I use it from PDF Viewer. I don't know why in 2010 I'm still getting so many PDF forms that are not editable. But, at the push of a button, FormTyper recognized the fields and converts the document to an editable form. This is a huge time saver.

PDF Create is another app that comes bundled with PaperPort and it is my default PDF driver. The ability to create batch conversion jobs is very helpful in my work. Also helpful is the ability to merge documents into existing PDF files when printing to PDF. No need to fire up PaperPort. A simple example of how this is useful is that I will purchase an item and print the order confirmation to PDF. Then when I get the shipping notification, software-registration information, or other subsequent documentation related to my order I can print to PDF and select the prior PDF from the save-to menu and select to append the new material to the end of the prior PDF. This is a huge time saver.

For the main program itself, I don't do a lot of heavy editing in it, but it is very useful to quickly clean up scans: straitening, despeckling, lightening or darkening, and cropping are all very simple to do.

The scanning interface is also good. Adding additional pages, properly inserting the reverse side of two-sided pages, rotating pages, and adding information on the document can all be done on the fly.

As for the interface, I'm not sure what all the complaints are about. I like the new interface and think it is an improvement over prior versions. I also like the MS Office ribbon interface, which I know many people hate. I guess it is just a matter of taste. The interface has never been a problem for me.

Most of the complaints you will read in the negative reviews are related to bugs that have been fixed in 12.1.

As for Nuance support, the support Web site isn't the best but many of the more common problems are addressed. The PaperPort user group on Yahoo Groups has far more information. But trouble-shooting PaperPort can be frustrating. It seems that with every upgrade or new scanner I spend hours trying to troubleshoot the inevitable problems that arise. Nuance e-mail support, however, is quite good. I highly recommend that after you receive the software or upgrade it, you do not procrastinate on trying it out. Really put it through its paces while you still have free tech support. If you are out of the free support period, it is worth paying a few bucks for getting support.

MY PRIOR NEGATIVE REVIEW IS BELOW - Again, the issue I complain about has been fixed by the update.

I've used Paperport for years. It has always been a bear to set up, get working with your scanner, and work out the kinks, but when it worked, it was a nice application to turn paper into electronic documents and to manipulate the resulting PDFs. However, as computing needs have changed, I find that Paperport has not kept up. One thing that is not made clear in the advertising is that Paperport does not support working with external drives, NAS servers, snap drives, etc. Basically, you are meant to only use it to work with documents on your computer's internal hard drive.

That is not realistic for most business use, especially if you want to use it to manage your documents. If you want to work with documents on a networked drive, you'll need to copy files over to your local drive, work on them in Paperport and then copy them back over to the network file share.

What's worse is that it doesn't even play well with offline files. These are network files that you sync to your local hard drive. Even these will hang the system, despite the fact that they reside on your local drive. While I've gotten Paperport to occasionally work with network and offline files, more often than not, it will choke on them. There is no warning when you add a network location with Paperport's file manager. If a network folder hangs Paperport and you have Paperport set to open at the location it was at when it was closed, then you will not be able to use Paperport again unless you reinstall it because it will crash every time you open it.

Given that even many home users commonly use home NAS drives or large-capacity external drives to store and share documents and photos, I can't understand why the program isn't designed to support this use profile. I suggest that whether you are a home or business user, you check out the following knowledge article from Nuance's support site and decide whether it will meet your needs before you purchase the product.
